This Privacy Policy explains how Virgol handles personal information when you use the Virgol mobile app, website, subscriptions, and support services.
Who we are
Virgol is provided by Ehsan Nikaeen, trading as Virgol in the United Kingdom. For account, privacy, or data-protection questions, contact support@virgol.co.uk.
Your business data and your responsibilities
When you add client or worker information to Virgol, you decide why that information is used and are normally the data controller for it. You are responsible for having an appropriate lawful basis, giving any required privacy information, keeping the information accurate, and only collecting what you need. Virgol processes that information on your behalf to provide the features you request.
Information you add to Virgol
The app stores information you enter or upload, which may include your name, business and contact details; client names, addresses, telephone numbers and email addresses; quotes, invoices, payment records and expenses; materials, labour and travel rates; notes, signatures, files, photographs, receipts, certificates, qualifications, insurance records, and work-tracking records.
Account and support information
When you register, sign in, or contact support, we may process your user identifier, email address, profile information, authentication provider, support messages, attachments, and replies. Please do not send sensitive information that is not needed to resolve your request.
Files, receipts, and documents
Files and receipt images you upload are stored so they can be attached to your clients and business records. Receipt scanning may process an image to suggest details such as merchant, date, tax, category, and total. Automated suggestions can be wrong and should be checked before saving. You should only upload documents you are entitled to store and use.
Analytics, diagnostics, and website measurement
Virgol uses Firebase services, including analytics, to understand app usage and improve reliability. This may include app instance identifiers, user interactions, app version, operating system, device information, approximate location derived from technical information, and diagnostic or performance data. The Virgol website also uses a Google tag to measure visits and store-link activity. Where consent is required for non-essential website storage or tracking, it should only be used after that consent is obtained.
The website stores your optional-tracking choice in your browser. Select Privacy choices at the bottom of any website page to accept, reject, or change that choice. Essential storage used to remember your choice is not used for advertising.
Payments and subscriptions
Subscriptions are processed by Apple or Google and managed in the app through RevenueCat. We may receive a store transaction identifier, product and entitlement information, subscription status, renewal or expiry information, country or store, and an app user identifier. We do not receive your full payment-card details.
How and why we use information
- To perform our contract with you: create and authenticate your account; store, sync, export, and share records at your request; provide subscriptions; and deliver support.
- For our legitimate interests: secure and improve Virgol, diagnose faults, prevent misuse and fraud, understand feature performance, and keep appropriate business records, where those interests are not overridden by your rights.
- To comply with law: meet legal, tax, accounting, regulatory, and lawful-request obligations that apply to us.
- With consent where required: use optional device permissions, non-essential website tracking, or other processing for which consent is the appropriate basis. You may withdraw consent, although this does not affect earlier lawful processing.
Service providers and sharing
We do not sell your personal information. We use service providers only where needed to operate Virgol, including:
- Google Firebase for authentication, database, file storage, hosting, analytics, and related app infrastructure.
- Apple App Store, Google Play, and RevenueCat for purchases, subscription status, and entitlement management.
- Email and support-delivery providers used to send or receive support messages.
Information may also be disclosed when you direct us to share or export it, when required by law, to protect users or the service, or as part of a business reorganisation subject to appropriate safeguards.
International transfers
Some service providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards for a restricted transfer, we rely on an applicable adequacy regulation, approved contractual safeguards such as the UK International Data Transfer Agreement or UK Addendum, or another lawful transfer mechanism.
Retention
Account and business records are generally kept while your account is active and until they are deleted by you or through account deletion. Support, security, transaction, and diagnostic records are kept only for as long as reasonably needed for the purpose collected, dispute handling, fraud prevention, legal compliance, or enforcement. Backups and service-provider systems may take a limited additional period to cycle out deleted information. Information may be retained longer where required by law or needed to establish, exercise, or defend legal claims.
Security
We use reasonable technical and organisational measures intended to protect information, including authenticated access and encrypted network connections. No online service can guarantee absolute security. Keep your login details and devices secure and contact us if you suspect unauthorised access.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict, or object to processing of your personal information, and to receive certain information in a portable format. You may also withdraw consent where processing relies on consent. These rights are not absolute.
To exercise a right concerning your Virgol account, contact support@virgol.co.uk. For information entered by a tradesman about their client, contact that tradesman first because they normally control that information. We may need to verify your identity before acting on a request.
Children
Virgol is a business administration service and is not intended for children. Do not create an account or submit personal information if you are under 18.
Deleting your account and data
You can request deletion of your Virgol account and associated app data. See the account deletion page for the available methods, scope, and subscription steps.
Complaints
Please contact us first so we can try to resolve your concern. You also have the right to complain to the UK Information Commissioner's Office at ico.org.uk.
Changes to this policy
We may update this policy when Virgol, our providers, or legal requirements change. The updated version and date will be published on this page. We will provide additional notice in the app where a change materially affects how information is used.
